Henry County Ag Society Administrative Professional
The Ag Society Administrative Professional provides administrative and organizational support to ensure the smooth operation of The Henry County Ag Society. This role involves supporting fairground activities, enhancing communication, providing an organized office workflow, supporting the Senior Fair Board and coordinating with the Special Events Manager and Groundskeeper.
Key Responsibilities:
Administrative Support: Manage the Senior Fair Board’s administrative cycle, including preparing and distributing agendas, minutes, and reports. Maintain accurate and organized records, including financial documents, contracts, and permits and a comprehensive document repository for record retention. Exhibit responsive support for Senior Fair Board member needs and requests.
Event Coordination: Assist with operational and financial logistics for fairground events. Coordinate schedules, entry forms, and participant registrations. Collaborate with the Special Events Manager on year round events.
Communication: Act as the primary point of contact for inquiries from vendors, exhibitors, and the public. Respond to emails, phone calls, and in-person inquiries promptly and professionally.
Vendor and Exhibitor Management: Coordinate with Board Committees to process applications, assign booth spaces, and ensure compliance with Ag Society rules and regulations. Coordinate with events/vendors on setup, logistics, and payments processing.
Financial Tasks: Coordinate and track ticket sales, entry fees, and other requested transactions. Prepare basic financial reports and assist with budget tracking under the direction of the Senior Fair Board. Assist with payroll processing, tax forms, and required audits.
Marketing and Promotion: Assist with creating and distributing promotional materials. Assist in the upkeep of the fair’s website or social media accounts as needed. Actively network and promote the fairgrounds in the community.
On-Site Support: Provide year-round administrative support for the fairgrounds, to include maintaining designated office hours, addressing customer needs/concerns, assisting with event check-ins, and addressing attendee questions or concerns. Manage and maintain office supplies and equipment.
Compliance and Safety: Assist with all fairground activities to ensure compliance with local regulations, safety standards, and insurance requirements. Maintain updated records for health and safety protocols.
Qualifications:
High school diploma or equivalent; associate or bachelor’s degree in business administration, event management, or a related field preferred.
1-2 years of proven administrative, office management, or event planning experience preferred.
Strong organizational and multitasking skills with attention to detail.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft 365 and QuickBooks; basic knowledge of social media platforms.
Ability to work independently and as part of a team.
Familiarity with county fair operations or agricultural events is a plus.
Flexibility to work evenings, weekends, and extended hours as needed.
Strong customer service skills, positive attitude, and strong work ethic.
Willing to learn new job skills and evolve with job duties.
Physical Requirements:
Ability to sit or stand for extended periods.
Occasional lifting of materials or equipment up to 25 pounds.
Comfort working in indoor and outdoor environments during events.
Work Environment:
Primarily office-based with occasional travel to promotional events or off-site meeting locations.
This is a year-round, part-time position (15-20 hours per week [after training], with potential for growth to 25-30 hours). Workload and hours will significantly increase leading up to, during, and immediately following the Henry County Fair.
Collaborative work with fair board members, volunteers, and community stakeholders.
